Ulysses has developed the Safeguard Import routine to bring staff details from the NHS Electronic Staff Record into the Safeguard System. This involves a mapping process, already completed by Ulysses, describing the "best fit" for each item of data moving from ESR to Safeguard. As part of the implementation, a test Safeguard System is provided so that you can run a "dummy" import, and confirm that the mappings provided suit the way the System is setup for your organisation. This process also allows you to make any changes before any data is imported into your live system. For example, by default the staff member home address is brought across to Safeguard, however you may decide not to import that into your System.
This test phase is included within the cost of the implementation, and documentation is provided giving full details on the data mappings.
The import brings across both staff demographic data, and assignment details, both current and historic. This populates both the Staff and Staff History records. Where the member of staff is a "Leaver", the Leave Date is populated within Safeguard and all details amended accordingly. Should that member of staff later rejoin the Organisation, the same staff record is amended and made current again. This means that historically the Organisation can report back on all activities by staff over a historic period.
In addition, Ulysses provides as many checks as possible to reduce the numbers of duplicate staff records generated, including checks by National Insurance Number, Surname, First Name, Date of Birth, and Identifier 1 or Identifier 2.
