Safeguard Alert

With the increase in the amount of information to be disseminated and the number of Alerts issued from external agencies, managing the communication process and keeping a full audit of individual departments responses and actions has become increasingly complex.

Safeguard Alert manages and audits the communication between the Organisation's Information Lead, and the staff/coordinators who determine and implement the actions. The System sends automatic reminders when Target dates are nearing via the Organisation's email system and reports are produced showing performance against targets. Use Safeguard Alert for the dissemination of information and alerts from external agencies such as MHRA (Medical Device & Drug Safety) and NPSA (Rapid Response Reports) and NICE (NICE Guidance)

Action Tracking
Action tracking enables the Information Lead and coordinators to communicate with each other via the System. The System audits the whole process from the initial sending of the information, the recipient's acknowledgements and planned action, through to the completion of those actions.

As the information coordinators record their progress via the Alert web form, the system is updated accordingly, so the Information Lead are fully updated about the progress of all alerts via the system. Therefore Safeguard Alert provides one repository for all information, simplifying audit and accountability.

Distribution List
The Information Lead simply selects who needs to be informed and/or implement an action. In many cases Action may be requested, and where this is not required the information coordinator responds accordingly, also indicating as a mandatory requirement why action is not needed.

Once the initial emails are sent, the Information Lead waits for the coordinators to respond and indicate their status - it may be "assessing the need for action", "action started", or simply an acknowledgement. Should there be a delay in the process; the system automatically reminds the coordinators via email that action is required therefore saving time administering and chasing information.

Alert Action Responses
At any stage of the process the Information Lead can see the action status of coordinators, and when they last responded. Safeguard also indicates when all the action for an alert is complete, and the alert should be closed.

Alert Web
The Information Coordinators receive an alert email, also showing who else has been notified. When they access Alert web, their personal alerts are listed for them to manage and update. Once completed, the alert is removed from their list.


Inventory
Alert includes a full equipment inventory that can be linked to your external Equipment Register. For each piece of equipment, inspections and the locations can be recorded. As soon as a Medical Device Alert is issued the Organisation can check if the equipment is present and where. In addition, the inventory is shared with Safeguard Incident enabling the Organisation to see straight away if that piece of equipment has been involved in any incidents or near misses.
