Safeguard Request for Information manages all types of requests including those covered by the Data Protection Act, Freedom of Information and Environmental Information Regulations.

Safeguard RFI monitors and tracks the progress of the Request with Alerts at all stages including when Response Due dates are nearing, that Fees/Further Information deadlines are coming up and to close cases where responses for fees/further information have not been received. The Alerts also include prompts for the Appeals Process, and all Action Target dates associated with the Request.

Safeguard RFI enables the Request to be categorised according to the nature, area and Subject of Request. The Subject part of the system enables the user to quickly identify if the information has been requested before, whether it has already been disclosed and whether it is covered by any exemptions. Reports on this information can clearly show if requests are regularly about the same Category and/or Subject.

Safeguard RFI indicates that the case may be subject to fees, although it is up to the Trust whether fees are actually charged. The fees are calculated automatically depending on the regime that the case falls under.

The process may be halted and restarted using the "Stop Clock" facility, for example when Fees are requested, or more information is required from the applicant.

Safeguard RFI deals with Appeals including Internal Reviews, appeals to the Information Commissioner and the Information Tribunal. Reports include Category of Request, Response Times, Costs and where in the Organisation.

Integrated Mail Merge facilities use Microsoft Word®. Standard mail merge templates include Acknowledgement, Fees Notice and Request for further information, Additional templates may be created, and all letters can be personalised before being sent. All correspondence is saved with the request.

Safeguard RFI is fully integrated with the Safeguard Risk, Incident, Complaints, Litigation, PALS and Training Systems. However with Security applied information can remain strictly confidential.

Safeguard RFI can operate effectively without the other modules as a networked Information Management System.
